KungFu.Life Summer Retreat – Terms & Conditions

1. Organizer

This retreat is organized and operated by Xin Sunfield Ltd, a sister company of KungFu.Life Ltd.

All contracts, payments, and responsibilities for the retreat are with Xin Sunfield Ltd.

2. Eligibility

Participants must be 18 years of age or older to register and attend, unless otherwise agreed upon in writing.

3. Contract of booking

No contract shall exist until the completed booking form is submitted and a Payment has been made and a Confirmation Receipt has been issued. 

4. Cancellation and Refund Policy

Spaces for our Summer Retreat are limited, and we always aim to handle cancellations with understanding and care.

Full payment or instalment payment is required at the time of booking. Within this amount, a non-refundable deposit of €499 is included for each participant.

If you need to cancel, the following policy applies:

• Cancellations made more than 2 months before the retreat start date: All payments will be refunded, minus the €499 non-refundable deposit.

• Cancellations made between 2 months and 1 month before the retreat start date: A cancellation fee of 50% of the total retreat cost will apply.

• Cancellations made less than 1 month before the retreat start date: A cancellation fee of 100% of the total retreat cost will apply.

  As our retreat has limited capacity and rooms are allocated in advance, we appreciate your understanding regarding these timelines.

• In the unlikely event that the organiser must cancel or significantly alter the retreat (for example: venue closure, instructor illness, or other unavoidable circumstances), we will first offer you:

  1. A transfer to a rescheduled date, if available and suitable for you.

  2. If a rescheduled retreat is not possible or does not work for you, a full credit note, including the €499 deposit, for you to be able to use at any of our future retreats valid for 36 months.

  We aim to communicate any changes as early as possible, and we deeply appreciate your flexibility in exceptional situations.

• External Events Beyond Our Control

  We are not liable for cancellations, delays, or disruptions caused by events outside our control, including but not limited to:

  • Natural disasters

  • War or political unrest

  • Acts of terrorism

  • Health pandemics

  • Government-imposed travel restrictions or quarantine rules

  For your peace of mind, we strongly recommend obtaining personal travel insurance that covers such unforeseen circumstances.

• Acceptance of Terms

  By submitting your payment, you confirm your agreement with these Terms and Conditions.

5. Travel and Insurance

• Participants are responsible for arranging their own transportation to and from the retreat location.

• We strongly recommend purchasing comprehensive travel insurance that covers trip cancellation, health emergencies, and personal belongings.

• Xin Sunfield Ltd is not responsible for loss, theft, injury, or illness occurring during travel to or from the retreat.

6. Health and Safety

• By attending the retreat, you confirm that you are physically able to participate in movement, martial arts, and outdoor activities.

• Participants must disclose any medical conditions or injuries in advance.

• Xin Sunfield Ltd reserves the right to decline participation for individuals if it is deemed unsafe for health reasons.

7. Behavior and Community Agreement

• All participants agree to treat others with respect and kindness.

• Disruptive, aggressive, or unsafe behavior may result in removal from the retreat without refund.

8. Media Release

We love capturing the spirit of the retreat — the moments of movement, connection, and inspiration — through photographs and videos.
These images may be used to share the story of our work for future retreats, educational projects, and promotions.

By joining us, you’re giving us permission to include you in this storytelling.
If you prefer not to be photographed or filmed, just let us know in writing before the retreat begins — we completely respect your wishes.

9. Liability Waiver

By participating in the retreat, you acknowledge and accept:

• The inherent risks associated with physical activities

• That participation is voluntary

• That Xin Sunfield Ltd and KungFu.Life Ltd are not liable for injuries, accidents, or losses arising from your participation

10. Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of Republic of Ireland.
